How you reserve and book a balloon trip with a travel agent for Middle Tennessee
When you book a balloon trip with a travel agent at this office, three businesses are involved: the office, which plans and reserves; the balloon company, whose pilot makes the flight; and the lodging. Here is what passes between them, in order, and what you are asked for at each step.
Nights, month, town and flyers
The form asks for the nights, the month, the lodging town, sunrise or evening, how many people fly and the kind of stay you like, then a name and an email address. The form takes trip requests 24/7, and nothing you send commits you to anything.
Basket space, youngest age and a weather date
The office asks the balloon company whether it has space in a basket on the morning you want, what the flight costs for your party, the youngest age it takes, its own rules for weather and for changes, and whether it can keep a later morning of your stay open as a weather date. Each flyer's own details go to the balloon company directly, later, when it asks for them.
The written quote
It names each supplier, prices each part, says how long the quote stays valid, and marks in plain words any part that cannot be refunded. The office sends it within one business day of your request when both suppliers have answered, or tells you what it is still waiting for.
Paying the balloon company and the lodging
When you accept, each supplier takes payment directly under its own terms: some ask for a deposit, some hold a card and charge on the flight day. The quote says what is paid, to whom and when. When a reservation goes ahead, the balloon company or the lodging pays the office a commission. You never pay through this website, and the office never asks for card numbers by email.
The evening before and the morning of
The balloon company confirms the exact meeting place once it has looked at the forecast and the wind: the evening before a sunrise flight, or earlier the same day for an evening flight. Before the meeting, the pilot decides whether the flight goes ahead, and that call is final. If it is called off, the next step follows the company's terms, set out in the balloon flight weather cancellation policy.
